It all starts with Voice Input from your Dictation Device

Almost any device that can record digital audio can be interfaced with OTI's RMI system, and serve as a digital dictation source.  The flexibility of the system allows standard telephones, digital recording devices, and even PCs now that the new Phillips Speech Microphone has become available for use.  Furthermore, existing enterprise digital dictation systems--such as Dictaphone, DVI, and Lanier--can also be interfaced with the OTI RMI system, allowing automated transfer of voice data.

How the OTI System works:

Demographic Information is created when voice data is transferred to the OTI system and accompanies the voice data throughout processing & transcription. This demographic information is either entered via the telephone in response to prompts from the transfer application software, or it can be extracted from an existing voice dictation system, or via an HL7 ADT feed.

Upon arrival in the OTI RMI system, demographic information from the acquisition process is attached to the voice data, and the “job” is assigned a unique job number.  Typically, jobs are made available both to the MT and to the person recording the dictation.  With definable limits and quotas, an assigned MT will download the job via OTI's RMI system, accompanied by any pre-defined templates allowing for flexible and customized formatting.

When the MT finishes transcribing the voice data, the document is uploaded by a secure connection through OTI's RMI technology directly into the client's system.  Depending on any pre-defined parameters set forth, the job and attached document may either go through a Quality Control process where it will be reviewed by an editor, or, instead be directly marked as ‘now available for delivery' (or be forwarded) to the ‘electronic signature' process.

The RMI system controls access to medical transcription data via various user types, such as people recording dictation, MTs, and administrators – all of whom may be defined at a company, department, and individual level.  Each user-type is assigned corresponding permissions, reinforcing security throughout the processing phase. Using a secured connection to the RMI system via the Internet, system users can log in and check the status of any report currently being processed.

OTI's ‘Electronic Signature' Capability:

OTI also provides optional ‘Electronic Signature' capability to confirm & track transcribed documents. Utilizing electronic signatures helps to ensure HIPAA compliance and provides an audit trail retainable for security purposes.

OTI's Interfacing Capabilities:

OTI can interface with the medical transcription workflow of most major systems, including Cerner, Vianetta, Dictaphone, Meditech, Softmed, and many other EMR and HIM systems.
