Oracle Transcription, Inc. takes great pride in the fact that the quality of work our Medical Transcriptionist's produce is among the best in the industry, and so can you!

Furthermore, all of our Medical Transcriptionist's have knowledge of current medical terminology, Anatomy & Physiology, disease processes, signs & symptoms, medications, and laboratory values, in addition to proficiency in English usage, grammar, punctuation, and style. While Oracle Transcription follows the guidelines set forth in the AAMT Book of Style, many clients do have their own style preferences, which are placed in ‘account-specific instructions' and are available to the assigned Medical Transcriptionist's at all times.

HIPAA Compliance

We are extremely sensitive about the many regulations that affect the transcription industry, and fully understand that the information we work with is extremely confidential. To this end, we make sure to follow all necessary protocols to achieve full HIPAA compliance, which we maintain at all times.

Our key Security Requirements & Employment Conditions include:

  • All of our employees, including QA managers, must sign a confidentiality and non-disclosure agreement, and are required to sign a HIPAA Compliance form stating that all information & system access will be kept secure at all times.
  • We have instituted company security measures to protect the security & integrity of protected client information, according to HIPAA guidelines.
  • We follow 128-bit encryption for all transferred files.
  • We have security services employed to prevent theft and/or vandalism of any information.
  • Our entire workforce is trained on issues of privacy, security, and confidentiality.
  • We strive to meet and exceed HIPAA regulations on all matters at all times.

Oracle Transcription, Inc. has an experienced Quality Assurance Department

Oracle Transcription has some of the most talented QA Editors in the industry, each averaging 16 years of industry experience. OTI goes through many levels of QA control to ensure that your finished documents are error free:

  • All of our Medical Transcriptionist's strive to ensure that every document is 100% accurate with respect to ‘critical' errors, prior to delivery to our client organization, and at least 98% accurate with respect to all ‘major' errors.
  • Oracle Transcriptions advanced system allows our Medical Transcriptionist's to see their original report in a side-by-side screen comparison with the QA-edited report. This feature allows each of our Medical Transcriptionist's to know exactly what the QA Editor has changed, enabling him or her to learn the nuances of a new client even faster.
  • Our QA Editors are responsible for making sure that all documents meet content and client format standards, and provide ongoing feedback to our Medical Transcriptionist's – vital for improving and maintaining high quality.

According to the AAMT…

“a valid quality assurance process ensures that medical transcription practices are as consistent and accurate as possible. Whether an MT is the transcriptionist of the document or is an editor of the same, human judgment will always be involved in this process. The degree of accuracy and consistency that can be achieved depends on the experience and skill of the Medical Transcriptionist, coupled with the acoustical quality of the dictation and the organization, focus, and language proficiency of the author.”

Our Medical Transcriptionist's receive continuous Evaluation & Training

  • Initial one-on-one training. Our Medical Transcriptionist's are given a one-on-one training session with an experienced Oracle Transcription Trainer who is proficient with all of our systems. The Medical Transcriptionist is also given access to an Instant-Message tool so that they can contact the Trainer or a QA Manager at any time. This provides constant feedback so the Medical Transcriptionist can feel confident & secure he/she always has someone to go to for help, as needed.
     
  • Scheduling & turn-around. At the time of training, our Medical Transcriptionist's are assigned to client accounts where their skills will best be utilized. Our Medical Transcriptionist's are required to turn all client work around in a timely manner (within 2 hours) and transcribe reports in the order that they are received.
     
  • All reports are edited. Our QA Editors provide daily feedback as to content and required formats, ensuring that each Medical Transcriptionist is always aware of any potential issues and that they can be fixed quickly.
     
  • Ongoing QA supervision. After Medical Transcriptionist's are trained, they are kept on full QA supervision for approximately 30 days, during which time QA Editors maintain that all rules & regulations are being followed, and that content and format are meeting Oracle Transcriptions high standards. If, after 30 days, an Medical Transcriptionist has proven to be at or above our standards, he/she is released to work independently, sending only ‘blanks' and reporting any other discrepancies directly within Oracle Transcription, Inc's  RMI2 system (which automatically forwards to QA for resolve).
     
  • Maintaining Medical Transcriptionist quality standards. Each Medical Transcriptionist also has random weekly QA checks to assure that his/her work continues to meet Oracle Transcriptions standards. If an Medical Transcriptionist should fall below OTI quality standards, he/she is given a warning, and placed back on full QA supervision. Once the issue is resolved, the Medical Transcriptionist can again work independently. If a problem should occur again, the Medical Transcriptionist would be removed from the account and warned that continued sub-standard performance will result in termination.
